A few words on data privacy
My name is Steph Noviss (trading as Sense of Style Translations) and I provide freelance translation, editing and proofreading services.
I am based in the United Kingdom and as such I am subject to the requirements of EU General Data Protection Regulation 2016/679 which came into force on 25 May 2018. I am registered as a data controller with the UK Information Commissioner’s Office (ICO).
I am committed to protecting your personal data and respecting your privacy. This privacy notice outlines how I collect and use your personal data, why I may disclose it to others and how I keep it secure.
All information you provide to me, whether through your use of my website or via email or other communications, will be used solely in the ways described in this privacy notice.
What personal data I process and why
Personal data collected may include your name, job title, contact information (postal address, email address and phone number), tax number, payment and delivery conditions, banking details, other information voluntarily supplied by you, and information that may appear in source documents and reference material sent for the express purpose of translation, editing or proofreading.
Your data may be collected, stored and used for the following purposes:
- Issuing quotes
- Providing the service(s) you have requested
- Responding to your queries
- Keeping business records for internal administrative use and for tax purposes
- Optimising my website to suit your preferences
- Customer relations (e.g. keeping you informed of any changes in my services or availability)
- Complying with legal requirements
I may also process special categories of personal data from time to time, but this will only apply if you send me this type of data for the specific purpose of translating, editing or proofreading it. By commissioning a project containing special categories of personal data, you confirm that the data subject has consented for such data to be processed to the extent strictly necessary for the project to be completed. Special categories of personal data will only be used for the purpose of providing the service(s) you have requested.
The lawful basis for processing your data is to provide the service(s) you request or to take necessary steps prior to fulfilling that request (“performance of a contract”).
I do not use your personal data for marketing purposes.
How long I retain your personal data
I will keep your personal data for up to 10 years unless you ask me to delete or remove it sooner (subject to my legal and tax obligations).
Should you ask me to delete translations before the 10-year period has expired, I cannot be held responsible for queries or claims relating to the content, as I have no way of verifying the accuracy of the original content.
Who may have access to your personal data
Some information may be shared with third parties for administrative purposes only, as set out in this privacy notice, including the providers of my cloud backup and web and email hosting services. All these parties are GDPR-compliant, or, in the case of US companies, are self-certified under the US Privacy Shield framework.
I will never sell or lease your personal data to third parties.
I do not outsource work to other translators, editors or proofreaders.
I do not use online machine translation tools to translate your documents; therefore, any personal data contained within documents entrusted to me for translation will not be at risk of being leaked online by such tools.
